Recently, Language Solutions was entrusted with providing complete technical assistance and simultaneous interpreting for a high-level Cyber Security training session delivered by international experts. The event took place in a hybrid format, with international trainers joining via Zoom and local participants attending in person. Our mission was to ensure seamless communication between both groups, no matter the format, location, or technical complexity.
Selecting the Right Interpreters
Given the highly specialized nature of the training, we carefully selected professional interpreters with proven experience in cybersecurity terminology and a strong background in remote simultaneous interpretation. They were stationed at our fully equipped office space, where we set up a dedicated environment for them to perform at their best. This included professional headsets, soundproof booths, stable internet connections, and backup systems to prevent any interruptions during the sessions. The interpreters worked in English-Albanian and Albanian-English combinations, and both they and the participants were connected remotely. Ahead of the training, we coordinated with the organizers to ensure all technical aspects were covered, including informing them about the Zoom interpretation functions and verifying that all attendees received the necessary links and guidance. Our team also assisted in troubleshooting and final checks, contributing to a smooth and professional delivery of the multilingual virtual sessions.
Smooth Coordination Behind the Scenes
To guarantee uninterrupted service, our interpreting coordinator was present throughout the sessions, monitoring every aspect of the Zoom platform. From interpreter logins to language channel assignments, every technical element was handled with precision. Our team ensured that the interpreters were always supported and that any Zoom-specific requests from the organizers were quickly implemented.
On-Site Technical Equipment and Support
While interpretation was managed from our premises, we also deployed our technical team and equipment at the physical venue where the training was being followed by the Albanian audience. This included high-quality microphones, speakers, and video-conference camera all carefully tested and monitored in real time. Our staff was present on-site to manage the setup and offer immediate assistance if needed, ensuring participants received crystal-clear audio of the translated content.
Given the hybrid format, some technical challenges were expected, such as connectivity delays, audio feedback, or synchronization between virtual and in-person participants. To mitigate these, we implemented a series of preventive measures, including redundant internet connections, regular system checks, and a dedicated technician to monitor both ends of the connection. We always recommend our clients ensure a minimum upload/download speed of 20 Mbps, the use of wired internet connections for all critical devices, and updated Zoom-compatible hardware. Where possible, we provide or suggest HD video-conference cameras, boundary microphones and sound mixers to improve quality and reduce risk during hybrid setups.
