
Event Management of a Women on Boards Conference: Overcoming Challenges and Ensuring Success
In the world of event management, organizing an activity of any scale requires careful planning, coordination, and execution. When the event, which was organized by Women on Boards Albania, an NGO based in Tirana, is centered around an important theme—such as celebrating and empowering women in leadership positions—the stakes are even higher. The event Language Solutions managed recently was a dynamic conference aimed at women on board of directors, with 150 participants in attendance. The activity involved multiple moving parts: from selecting the proper venue to ensuring quality interpretation and relevant equipment, to providing meals and refreshments, and every minor detail in between.
Planning the Event: Identifying the Needs
The first step in planning any successful event is identifying the key requirements. Given the focus on women on boards, it was essential to be in line with an agenda whose purpose was to inspire, educate, and create a platform for networking. Prominent speakers were lined up, including accomplished women leaders from various sectors, and a clear goal of facilitating discussions around leadership challenges, strategies for career growth, and empowerment.
To ensure that the event met the client’s expectations, frequent video calls and regular updates were essential. During these calls, we discussed every detail of the event—from the proposed agenda and speakers to catering preferences and design elements. These conversations ensured that Language Solutions’ event management team was always on the same page with the client and that no important aspects were overlooked. We also provided regular updates on confirmed bookings and any changes to the arrangements. This collaborative approach helped in managing the client’s expectations and addressing any concerns in real-time, ensuring smooth decision-making throughout the planning phase.
Venue selection at Maritim Plaza Hotel: Finding the Perfect Setting
Choosing the right venue was another critical part of the planning process. For an event centered on empowering women in leadership, the venue needed to reflect a professional yet welcoming atmosphere. It had to be spacious enough to accommodate 150 participants, with required equipment for presentations, and networking breaks and enough room for translation equipment.
We began by researching venues that aligned with the event’s vision. The selected venue had to offer a combination of accessibility, high-quality facilities, and appropriate ambiance. After considering several options, we chose a modern conference room at the Maritim Plaza Hotel, with a reputation for hosting high-profile corporate events. The venue’s design was sleek and professional, with spacious meeting rooms and breakout areas that allowed for both large and smaller group interactions.
Once the venue was selected, we conducted a site visit with the client to ensure that all the technical and practical aspects were addressed. The layout for the main sessions was carefully chosen to ensure that all attendees had clear sightlines to the stage and that networking areas were conveniently located for easy access during coffee breaks and lunch.
Language Accessibility: Interpreters and Simultaneous Interpreting Equipment
Since some of the participants came from diverse linguistic backgrounds, providing language accessibility was a priority. This involved arranging for simultaneous interpretation services in English and Albanian.
Among the Language Solutions’ interpreting team, we carefully selected two female interpreters who had a clear understanding of the topics and terminology being discussed, besides being very professional and experienced. Additionally, we arranged the setup of the interpretation equipment, including headsets and microphones, ensuring that the Language Solutions’ technical staff were prepared to handle any potential glitches during the discussions.
Managing Catering: Coffee Breaks, Lunch, and Finger Food
One of the most critical aspects of any successful event is food and refreshments. The meal options must cater to various dietary preferences and restrictions, while also maintaining the event’s professional atmosphere. We worked closely with the Hotel staff to create a balanced and diverse menu for the coffee breaks, lunch, and finger foods.
In advance, we discussed the full meal menu with the client, ensuring that it met their expectations and included all the necessary options for dietary restrictions. We finalized a selection of pastries, fresh fruit, and beverages for the coffee break, followed by finger foods to allow for easy networking. We provided the client with detailed descriptions of each dish, allowing them to approve or suggest changes to ensure the menu was inclusive and appropriate for the event’s participants.
Managing catering also involved overseeing the logistics of food delivery, presentation, and timing. Ensuring that everything was set up on time, and keeping an eye on the quality and quantity of food was a challenge, but it was essential to keep participants satisfied at the end.
Dealing with Challenges
As with any large-scale event, challenges inevitably arose. The most significant challenge was managing the technical aspects of the event, including the translation equipment and ensuring the smooth functioning of the simultaneous interpretation services.
Another challenge involved coordinating the catering and ensuring that all dietary requirements were met. While these situations were stressful, they were also opportunities for me to demonstrate problem-solving and adaptability under pressure.

In hindsight, the key to the event’s success lay in early preparation, continuous monitoring, and flexibility. Frequent video calls and regular updates with the client ensured that their needs were met, their feedback was incorporated, and the event ran smoothly.
